Transferring Clients to Fitune

Three ways to migrate your clients depending on your situation

Option 1 — You are migrating from another software

If you're migrating from another platform, you have two paths:

A. Let our team handle the migration for you

Fitune offers a client and membership migration service (included at no cost on the Plus and Ultra plans). See the full article: Client & Membership Migration Service.

B. Prepare and send the information yourself

Download these two templates and fill them in with your active clients' information:

  • Client Invitation — columns: First name, Last name, Email.
  • Plans Import — columns: Client email, Fitune plan ID, Fitune plan name, End date, Credits left.

 

Important: before filling in the plans import template, all plans, memberships, and packages must already exist inside Fitune. Leave the "Fitune plan ID" column blank — our team will fill it in, matching it to the plan based on the name you provide in the "Fitune plan name" column. If the plan you list there doesn't exist yet in your account, we won't be able to complete the import.

Send both completed templates to hello@fitune.io with the subject "Client Migration Request."

 


How to export your information depending on your previous platform

Acuity Scheduling

  • Clients: in Acuity, go to Clients → Import/Export → Export client list. You can export all clients or filter by how recently they've booked.
  • Active packages and subscriptions: go to Packages, Gifts & Subscriptions → View Orders → Export All. The file includes all purchased packages, gift certificates, and subscriptions (it doesn't include codes generated manually or via API).

Mindbody

  • Clients: go to Insights → Reports → Clients → Mailing Lists, export as CSV.
  • Active memberships: go to Reports → Clients → Members, switch to the new version of the report, filter by Membership Status = Active, and export to CSV. This report includes membership name, client, next payment date, and amount.

Arketa

  • Clients: from your client roster, tap "More" and select "Export to CSV."
  • Active memberships or subscriptions: go to Analytics → Reports, select the memberships or revenue report, choose "Export to CSV" and the date range.

Shopify

  • Clients: go to Customers → Export → select "All customers" and CSV format → Export customers. If your list is large, Shopify will email you the file.
  • Active subscriptions: Shopify doesn't manage subscriptions natively — it depends on the app you use (Recharge, Appstle, Seal, Bold, or Shopify's own Subscriptions app). Export the data directly from that app's dashboard, or filter your Shopify customers by the tag your subscriptions app assigns to active users and export only those customers.

 

Note: these steps may change if the platform updates its interface. If something doesn't match exactly, check the official Help Center for each platform:


Option 2 — This is your first time using a software for your business

If you were handling your business manually, here is how to transfer your clients to Fitune and activate their plans.

First make sure to create a profile for each client: Contacts: Add new clients

  1. Click on Contacts.
  2. Choose My Contacts.
  3. Find the client you want to assign the plan to and click on their name.
  4. Click on Memberships.
  5. Click on +New.
  6. Find the plan you want to add and click on Choose Plan.
  7. Select the payment method they used to pay for the plan and click Complete.
  8. Click the 3 dots to edit the current active plan's expiration or renewal date.

Done! Your client can start using their active plan.


Option 3 — You want to start from scratch

If you prefer your clients to visit your website and purchase their plans on their own:

  1. Click on Share in the top left corner of your dashboard.
  2. In the share link section, choose Copy.
  3. Share it with your clients.

Clients can go to Sign In, create their own account, and start making purchases and bookings.

  

Frequently Asked Questions

Do I need to create my plans in Fitune before migrating my clients? Yes. All plans, memberships, and packages must already exist in your Fitune account before you send the template. You only need to list the plan name in the template — our team will find the correct ID and fill it in for you.

Can I migrate only my active clients? Yes, and that's recommended. Only essential information from active clients is migrated: name, email, active membership or package, remaining credits, and expiration date. All clients must have a valid email address.

How long does the migration take? Once we have all the necessary information, the goal is to complete it within approximately 1 week. Timing can vary depending on how quickly the information arrives and whether the plans are already created in Fitune.
