Staff Payroll: How It Works

Stop doing payroll math by hand. Fitune calculates what you owe your team, so you can review it, approve it, and pay.

What is Staff Payroll?

Staff Payroll is where you manage how, and how much, you pay your team. You tell Fitune how often you pay and how much each staff member earns.Fitune then does the counting for you: every class, event, and appointment they taught in the period, plus any fixed salary they earn.

No more pulling schedules and adding up classes in a spreadsheet at the end of the month.

Where to find it

In the left menu, click Staff payroll. You'll see three sections:

  • Payroll settings – choose how often you pay your team (your payroll cycle).
  • Pay rates – create the rates you pay: per class, per 1:1 appointment, or a fixed salary.
  • Payroll reports – see each pay period, check what you owe, approve it, and record your payments.

How it works, in 4 steps

  1. Choose your payroll cycle. Weekly, twice a month, or monthly. This sets the dates of every pay period. [Set Up Your Payroll Cycle](link to Article 2)
  2. Create your pay rates. Per Class, Per 1:1 Appointment, or Fixed Salary. For example, "Group class $40", "1:1 session $30", or "Fixed salary $300 ". [Create Pay Rates and Assign Them to Your Staff](link to Article 3)
  3. Assign rates to each staff member. Each person gets the rates that apply to them, from their staff profile. [Create Pay Rates and Assign Them to Your Staff](link to Article 3)
  4. Review, approve, and pay. When a pay period ends, Fitune creates the payroll report automatically. You check it, approve it, and record each payment. [Review, Approve, and Pay Your Payroll Reports](link to Article 4)

Steps 1 to 3 are a one-time setup. After that, you only need step 4 at the end of each pay period.

Good to know

  • There's one payroll cycle per studio. It applies to all your staff.
  • Fitune doesn't send money to your staff. You pay them the way you usually do (cash, bank transfer, card), then record the payment in Fitune to keep track.
  • Your current payroll cycle appears in Payroll reports while it's still in progress, but you can't preview or approve it until the cycle has ended. If you open it before then, you'll see a message telling you when it becomes available.
    For example, the September 1 – September 30 cycle becomes available to preview and approve on October 1 at 00:00.
  • Once a pay period ends and its report is created, the amounts are locked. Make any changes to schedules or rates while the period is still in progress.

Frequently Asked Questions

Does Fitune pay my staff for me?
No. Fitune calculates what you owe and helps you keep track of what you've paid. You still send the money to your staff the way you usually do.

Do I need to set up everything before I can see a report?
Yes. You need a payroll cycle, at least one pay rate, and rates assigned to your staff. Without those, Fitune has nothing to calculate.

Can I pay different staff members on different cycles?
Not at the moment. Your payroll cycle applies to your whole studio.

Can I add a bonus or a deduction to a report?
Not yet. In the next versions of Staff Payroll, you'll be able to add bonuses per checked-in client, or based on a minimum number of checked-in clients.
